Exhibitor Access

Bump-in: from 14:30 to 16:00 on Wednesday 17 March

Bump-out: from 12:00 on Friday 19 March

Exhibition Opening Times

The exhibition will run for the duration of the conference with morning tea, afternoon tea and lunch (excluding Friday) served in the exhibition area. The welcome drinks will also be held in the exhibition area (Tasman Room, Wrest Point Convention Centre).

  • Wednesday 17 March – 16:00 – 17:30
  • Thursday 18 March – 08:00 – 17:30
  • Friday 19 March – 08:00 – 12:00

Your Contact Person

The person booking your display will be our main point of contact. All correspondence will be sent to this person.

On-site Staff

Anyone from your Organisation or guests attending the conference must register before the conference. Conference name badge/s must be worn on site to access the exhibition area.

Display Inclusions

  • Structure as per your display selection.
  • Logo & hyperlink on the conference website.
  • Profile on the conference website.
  • Electronic delegate listing (privacy excluded), provided to you 1-week prior to the conference.
  • A basic Fascia with your organisation name
  • Registration for ONE (1) company representative to staff the display site & attend social functions is included
  • Pod Display – One (1) stool
  • Standard Display – a small trestle and a chair

Additional furniture packages and other display features can be purchased through ExpoTas.

On-site Storage

There will be limited on-site storage facilities for packing materials, boxes and giveaways.

You may not leave boxes and packing material in the exhibition display area during the show.

Outgoing freight should be collected from Wrest Point by COB Friday, 19 March 2021.  Any collections made after this date will need to be organised directly with Kelly Glass at venue.

Please advise Conference Design if you have special requirements.

Freight Logistics

Please note that Wrest Point does not have a preferred courier company. You will need to make arrangements through your own supplier.


Late and missing deliveries are the main problem for sponsors and exhibitors when arriving onsite for a conference.

  1. Download and use the delivery label provided.
  2. Confirm with your courier the delivery has been made BEFORE you arrive.
  3. Have the name of your courier, the consignment numbers and confirmed delivery date when you arrive.
  4. Goods will be accepted between 12.00 and 16:00 on Monday 15 March or Tuesday, 16 March. 


  1. All items are to be packaged and clearly marked and left in the loading bay .
  2. Arrange for collection of the items with your courier.
  3. Check with your courier whether a consignment note/number is required. If so include these details on your boxes before they are collected by the venue staff. Couriers will need to present via the customer hub at reception (Vehicle gate 2)
  4. Outgoing freight should be collected from Blundstone Arena by COB Friday19 March 2021.

Advertising Formats & Specifications

Company Profiles

50 word profile (100 for sponsors). Include a link to your website so delegates can connect with your organisation. The profile will be displayed on the website, the conference app and in your online proceedings platform exhibition display.

Your logo should be a high resolution PNG or JPG image, no less than 250 KB in size. It will be used on the web, print and PowerPoint slide, the conference app and in your online proceedings platform exhibition display.

Promotional Push Notification

A push notification consists of a maximum 30 word message plus a max 10 word heading.  These will be sent to delegates during the conference days during high activity periods.

Provide to Tara (tara@conferencedesign.com.au) at the latest by COB 3rd March to be scheduled.

Satchel Inserts

We are not distributing satchels/bags/pads to delegates upon registration. Instead, we will be encouraging people to visit the displays for these items, as a way of increasing engagement between our delegates and exhibitors and giving you more opportunity and time to interact and form relationships early on in the conference.

Content Pieces

All exhibitors have four (4) content pieces included, some sponsors may have more (please refer to your package).  A content piece can be in PDF or hyperlink format, e.g. flyers, brochures, links to web pages etc.

On-Demand Video

Provide in MP4 format.  Maximum 20 minutes long.

FAQs can be added to your online display to answer common questions asked by your customers.  We advise you keep the questions/answers succinct to encourage interest by attendees.  You can include up to 10 questions/answers.  An example of some questions are below:
